Improving Data Quality in Business Central using CharAllowed Properties and Regex CodeUnit

Business Central implementations fail in the long term not because of missing features but because of dirty and inconsistent master data. Fields like Customer Name, Phone No., Address, Email, VAT Registration No. etc. often become inconsistent over time if proper validation rules are not applied.

In Nepal, mobile numbers are sometimes written with +977, sometimes without prefix, VAT Registration numbers are typed in non-standard formats, and email fields contain typos or unnecessary special characters. This leads to unreliable reporting, broken integrations, and unstable analytics. That’s why applying strict validation patterns from the beginning is a required discipline not optional.

Clean data directly impacts:

  • Integration success with external systems like IRD, CRM, E-Commerce, Digital Payment, APIs.
  • Customer communication accuracy (emails, SMS, receipts).
  • performance of search / filtering inside BC.
  • Trust in master data across departments.
  • KYC accuracy and audit readiness

Because of this, designing strong validation early in your solution significantly reduces long-term support cost.

There are multiple ways for data consistent in business central like table field validation (On validate Trigger), Creating a master Data Setup, Error() and TestField checks, Enum field Instead of Option or text.

But in this article, we will explore two powerful validation techniques inside Business Central:

  • CharAllowed Property
  • Regex Codeunit

1. The CharAllowed Property

The CharAllowed is a field property that allows you to restrict which characters are allowed in a Code, Text field by defining character ranges. Instead of writing custom validation logic, you can simply restrict the characters using this property.

How It Works:

You define the allowed characters in pairs. For example:

  • If you want users to only enter uppercase and lowercase letters in the field, enter ‘AZaz’.
  • If you only want to allow a single character, then enter that character twice to specify a starting and ending range, enter ‘bb11’ this indicates that only the b,1 are allowed to enter.

 Limitations:

  1. CharAllowed is only validated when the field is updated through the UI (e.g., on a page or directly in a table. If you update field via Modify(), background process, web service, integration, this property will not restrict it.
  2. The CharAllowed property cannot be used on tableextension and pageextension fields.

To solve this Limitations, we can use next Method.

 2. The Regex Codeunit

To Solve the Limitation of CharAllowed property we can use code unit Regex. Regex Codeunit Provides different methods to use regular expressions to match text, split text, replace text etc.

Benefits:

  • works on UI + AL code + integration + background
  • reusable logic

Use Case: Only Allow Letters and Space in a Name Field of Customer

Here’s how you can use the Regex Codeunit to validate input:

In this example, the Regex.IsMatch method is used to check that the “Name” only contains alphabet characters. If the input doesn’t match the pattern, an error is triggered.

When to Use What?

Which way of validation is best for different Scenario.

ERP success is not only about features it is about data discipline.

In Nepal specially, where business master data comes from multiple branches, multiple salespeople, and multiple integration channels applying consistent data validation rules using CharAllowed + Regex will drastically reduce business errors, make your system scalable and will improve long-term ERP return on investment.

Compliance with VAT is typically one of the most error and labour-intensive financial processes within Nepali businesses. Filing of VAT returns, handling multicurrency transactions, and submission within deadlines at the Inland Revenue Department (IRD) can all become overwhelming tasks. Microsoft Dynamics 365 Business Central completely flips this on its head by providing automation, accuracy, and compliance within a single complete package.

What is Microsoft Dynamics 365 Business Central?

Business Central is a cloud-hosted Enterprise Resource Planning (ERP) product by Microsoft which helps handle finance, operations, supply chain, sales, and much more in a single system. Its inbuilt tax and compliance feature qualifies it as an ideal candidate for Nepali companies seeking to make it easy for themselves to handle VAT in an accurate manner.

How It Facilitates Compliance with VAT?

1. Filing of Auto VAT Return (Form 13)

Business Central implements VAT rules automatically in such transactions for proper calculations. It generates VAT Return Form 13 and provides for e-filing formats as mandated by IRD, minimizing time wastage and human error.

2. Tax Invoice & Bill Compliance

Business Central records all sales transactions with IRD-compliant tax invoices. It sequentially numbers the invoices, stores buyer information, and makes all entries for VAT traceable and auditable.

3. Secure & Error-Free Data Handling

Once it is posted, information is traceable and is safe. Business Central does not permit unauthorized changes while still enabling entry level corrections while maintaining data integrity as necessary for IRD audits.

4. Seamless Multi-Currency Support

For businesses involving imports/exports or foreign currency invoicing, Business Central will apply by default the right VAT rules as well as exchange rates for meeting IRD’s requirement for cross-border taxation.

5. Centralized Data Management for VAT

All of its VAT information like sales, purchases, tax invoicing, and returns is stored in a single database. Reporting is simplified, tracking is simplified, and reconciliation with IRD’s online e-filing is simplified.

6. Future-Ready Compliance

Business Central includes inherent flexibility for changing VAT regimes, e-filing mandates, and IRD system refreshes so you remain up-to-date as laws evolve.

Why it is Relevant for Nepali Firms?

With escalating regulatory expectations, spreadsheet or manual controls are a greater risk for:

  • Improper Form 13 Filings
  • Missed VAT credits
  • Delay in submission of e-files
  • Expensive fines imposed by IRD

Business Central guarantees:

  • Timely submission of VAT
  • Proper tax reporting (Form 13 & invoices)
  • Strict adherence to IRD guidelines
  • Improved productivity of finance team

Cash flow is the lifeblood of any business, whether it’s a small startup, a mid-sized company, or a large corporation. For businesses with high cash flow, such as those in manufacturing, retail, or wholesale, managing cash flow effectively is even more critical due to the scale and complexity of their operations. Yet, cash flow uncertainty remains a pervasive challenge, often leading to missed opportunities, strained relationships, and even financial instability. According to a recent study, 60% of small businesses experience cash flow issues, and even large organizations are not immune to this problem.

Let’s explore a real-world scenario in the context of a manufacturing company to understand the problem and how modern solutions like Microsoft Dynamics 365 Business Central can help businesses regain control of their cash flow.

The Problem:

The Cash Flow Crunch in a Manufacturing Company A mid-sized company specializing in producing industrial equipment faces significant cash flow challenges:

Delayed Customer Payments: Many clients delay their payments, creating a gap between incoming cash and outgoing expenses. The company’s accounts receivable team struggles to track and recover overdue payments efficiently.

Manual Cash Flow Tracking: The company relies on legacy systems and spreadsheets to manage cash flow. This manual process is slow, error-prone, and fails to provide real-time insights into the company’s liquidity position.

Unpredictable Market Conditions: Fluctuating raw material costs and economic uncertainties make it difficult for the company to forecast cash flow accurately. This lack of visibility often leads to poor investment decisions and missed opportunities.

High Operational Costs: The finance team spends significant time reconciling data from multiple systems, delaying critical decision-making and increasing operational costs.

The CFO knows that if these issues persist, the company’s ability to invest in new projects, pay suppliers, and grow will be severely impacted.

The Solution:

Automated Cash Flow Management with Business Central To address these challenges, the company implemented Microsoft Dynamics 365 Business Central, a comprehensive business management solution designed to streamline financial operations. Here’s how it transformed the company’s cash flow management:

Automated Cash Flow Forecasting: Business Central uses real-time data to generate accurate cash flow forecasts. The CFO can now predict the company’s liquidity position with precision, enabling better decision-making and risk management.

Efficient Receivables Tracking: The platform automates the tracking of customer payments and sends reminders to clients with overdue invoices. This has significantly reduced delays and improved cash inflows.

Centralized Financial Data: Business Central integrates data from the company’s ERP system, inventory management software, and other tools into a single platform. This eliminates manual data entry and provides a real-time view of the company’s financial health.

Optimized Payment Scheduling: The system helps the CFO prioritize payments based on due dates and available cash. This ensures that the company meets its obligations on time, avoiding penalties and maintaining strong supplier relationships.

Real-Time Dashboards: With customizable dashboards, the CFO and the finance team can monitor key metrics like cash flow, accounts receivable, and liquidity ratios at a glance. This has improved collaboration and decision-making across the organization.

The Results:

A Stronger, More Resilient Business Within six months of implementing Business Central, the company saw significant improvements:

Reduced Delinquencies: Overdue customer payments dropped by 35%, thanks to automated tracking and reminders.

Improved Forecasting Accuracy: Cash flow forecasts are now 90% accurate, enabling the company to make better investment decisions.

Time and Cost Savings: The finance team saved 20 hours per week by automating manual tasks, reducing operational costs by 15%.

Enhanced Liquidity Management: The company now has a clear view of its liquidity position, allowing it to optimize inventory purchases and supplier payments.

Most importantly, the CFO no longer feels overwhelmed by cash flow uncertainty. They have the tools and insights needed to steer the company toward sustainable growth.

What’s Your Biggest Cash Flow Challenge?

In today’s fast-paced business environment, financial visibility is more critical than ever. Yet, many CFOs and finance teams struggle with fragmented financial data spread across multiple systems, leading to poor decision-making and, in some cases, business failure. According to a recent study, 82% of business failures stem from poor financial management. This alarming statistic highlights the importance of having a clear, real-time view of your financial health.

Let’s dive into a real-world scenario to understand the problem and explore how modern solutions like Microsoft Dynamics 365 Business Central can help.

Imagine a mid-sized manufacturing company, ABC Manufacturing, that has been in business for over a decade. Over the years, the company has grown, and with growth came the adoption of various software systems to manage different aspects of the business. They use one system for inventory management, another for payroll, a separate tool for invoicing, and yet another for financial reporting.

While these systems work well in isolation, they don’t talk to each other. The finance team spends countless hours manually consolidating data from these disparate systems into spreadsheets. By the time the reports are ready, the data is already outdated. The CFO, Sarah, often finds herself making critical decisions based on incomplete or inaccurate information.

For example, last quarter, Sarah approved a large capital investment based on what she thought was a healthy cash flow. However, due to delays in reconciling accounts receivable data, she didn’t realize that several large invoices were overdue. This oversight led to a cash crunch, forcing the company to delay payments to suppliers and damaging relationships.

Centralized Financial Data with Microsoft Dynamics 365 Business Central

Sarah knew something had to change. After researching various solutions, she decided to implement Microsoft Dynamics 365 Business Central, an all-in-one business management solution that centralizes financial data and provides real-time insights.

Here’s how Business Central transformed ABC Manufacturing’s financial visibility:

Single Source of Truth:

Business Central integrated seamlessly with ABC Manufacturing’s existing systems, pulling data from inventory, payroll, invoicing, and more into a single platform. Sarah no longer had to rely on manual data entry or outdated spreadsheets.

Real-Time Insights:

With real-time dashboards and automated reporting, Sarah could see the company’s financial health at a glance. She could track cash flow, monitor overdue invoices, and analyze profitability—all in real time.

Faster Decision-Making:

Armed with accurate, up-to-date data, Sarah could make faster, data-driven decisions. For instance, when a key supplier offered a discount for early payment, Sarah quickly assessed the company’s cash flow and took advantage of the opportunity, saving thousands of dollars.

Improved Collaboration:

Business Central’s cloud-based platform allowed the finance team to collaborate more effectively. They could access the same data from anywhere, reducing delays and improving efficiency.

A Stronger, More Resilient Business

Within months of implementing Business Central, ABC Manufacturing saw significant improvements:

Reduced Manual Work: The finance team saved 20 hours per week by eliminating manual data entry and reconciliation.

Better Cash Flow Management: Real-time visibility into accounts receivable helped reduce overdue invoices by 30%.

Increased Profitability: Data-driven decisions led to a 15% increase in profitability within the first year.

Most importantly, Sarah no longer felt like she was flying blind. She had the financial clarity she needed to steer the company toward sustainable growth.

If Sarah’s story sounds familiar, it’s time to take action. Fragmented financial data doesn’t just slow you down—it puts your business at risk. With tools like Microsoft Dynamics 365 Business Central, you can centralize your financial data, gain real-time insights, and make faster, smarter decisions.

Don’t be part of the 82% statistic. Let’s discuss how you can achieve financial clarity and transform your business. Reach out to us today to learn more about how Business Central can help you solve your biggest financial challenges.

Why AI is a Game-Changer for ERP?

ERP systems like Dynamics 365 have long been the backbone of business operations, integrating critical functions like finance, supply chain management, manufacturing, and HR into a single platform. However, while traditional ERP systems are powerful, they often require human intervention to make sense of large volumes of data, monitor performance, and identify trends.

AI in Dynamics 365 ERP takes this to the next level by automating routine tasks, analyzing data in real-time, and offering predictive insights that help businesses act proactively. AI-powered ERP systems not only enhance operational efficiency but also enable businesses to anticipate challenges and capitalize on opportunities more effectively.

Let’s explore how AI is transforming key areas of business operations within Dynamics 365 ERP:

1. Predictive Analytics for Smarter Decision-Making

AI algorithms within Dynamics 365 ERP analyze historical data, market trends, and external factors to generate predictive insights. For example, AI can forecast demand for products, predict financial trends, or anticipate potential supply chain disruptions. This allows businesses to make data-driven decisions before issues arise, improving overall planning and reducing risks.

Example: A manufacturing company can use AI to predict the demand for specific products and adjust its production schedules accordingly, ensuring optimal resource allocation.

2. Automation of Routine Tasks

By automating repetitive processes, businesses reduce the risk of human error and free up valuable time for employees to focus on higher-value tasks.

Example: AI-driven automation in financial management helps process invoices and approve payments faster, leading to more efficient cash flow management.

3. Intelligent Financial Management

AI is revolutionizing financial planning and analysis by offering advanced forecasting tools that predict cash flow, identify trends, and detect anomalies in financial data. With AI-powered insights, finance teams can proactively manage budgets, optimize expenses, and avoid potential financial pitfalls.

Example: AI helps finance teams predict and prepare for cash flow fluctuations, ensuring that businesses maintain financial stability even during market volatility.

4. Optimizing Supply Chain and Inventory Management

AI enables organizations to optimize their supply chains by predicting demand, assessing supplier performance, and identifying potential disruptions. AI-powered ERP systems can automatically adjust inventory levels, ensuring that businesses have the right products in the right quantities at the right time.

Example: AI can analyze external factors like weather patterns or geopolitical events and recommend supply chain adjustments, minimizing potential disruptions.

5. Smarter HR and Talent Management

In Human Resources (HR), AI in Dynamics 365 helps organizations streamline employee recruitment, onboarding, and performance management processes. AI-powered tools can identify the best-fit candidates based on historical hiring data, improve employee engagement, and provide personalized development plans for talent growth.

Example: AI helps HR teams predict employee turnover, allowing businesses to take proactive steps in employee retention.

6. Data-Driven Insights for Operational Efficiency

AI unlocks the power of real-time data, providing businesses with insights that drive continuous improvement. By analyzing key performance indicators (KPIs), AI helps identify operational bottlenecks, areas for improvement, and opportunities for cost savings.

Example: AI analyzes production line performance in real-time and suggests process adjustments to increase efficiency and reduce downtime.

Integrating AI into your Dynamics 365 ERP system can bring a wide range of benefits that directly impact the efficiency, profitability, and agility of your business. Let’s explore some of the key advantages:

1. Increased Efficiency and Productivity

AI-driven automation eliminates manual processes and streamlines business operations, reducing the time and resources required for routine tasks. This not only improves productivity but also allows employees to focus on strategic initiatives that add greater value to the business.

Example: AI automates repetitive tasks in finance, such as reconciliation and reporting, reducing administrative workload and allowing finance teams to focus on higher-value strategic activities.

2. Improved Decision-Making with Predictive Insights

AI provides real-time, data-driven insights that help businesses make informed decisions. Whether it’s predicting market trends, optimizing resource allocation, or forecasting demand, AI enhances the decision-making process, enabling businesses to stay agile and proactive.

Example: AI in supply chain management predicts potential disruptions and suggests alternative solutions, helping businesses avoid costly delays and ensure on-time delivery.

3. Cost Reduction and Risk Mitigation

By automating tasks and improving accuracy, AI reduces operational costs and minimizes the risk of errors. Furthermore, AI’s predictive capabilities help businesses anticipate and mitigate risks, whether related to supply chain disruptions, financial fluctuations, or market changes.

Example: AI identifies inefficiencies in the production process, suggesting ways to reduce waste and lower manufacturing costs.

4. Better Resource Allocation

AI helps businesses allocate resources more effectively by forecasting demand and supply, optimizing inventory, and improving workforce management. This leads to more efficient use of resources, helping businesses maximize their profitability.

Example: AI in manufacturing helps companies optimize labor scheduling based on predicted demand, ensuring that the right personnel are available when needed.

5. Enhanced Customer Satisfaction

By using AI to optimize operations, businesses can deliver faster, more reliable products and services to customers. AI-driven ERP systems enable businesses to improve product availability, streamline delivery processes, and ensure consistent quality, ultimately leading to higher customer satisfaction.

Example: AI helps businesses better manage inventory and ensure that products are available when customers need them, reducing the risk of stockouts.

Implementing AI in your Dynamics 365 ERP system may seem overwhelming, but it can be broken down into manageable steps:

  1. Assess Your Current ERP System: Identify areas where AI can add the most value—whether it’s improving financial forecasting, optimizing supply chain management, or automating routine tasks.
  2. Define Your Business Objectives: Clearly outline your goals for AI adoption, such as improving efficiency, reducing costs, or enhancing customer satisfaction.
  3. Select the Right AI Tools: Choose the AI features that align with your business needs, such as predictive analytics, process automation, or advanced data insights.
  4. Train Your Team: Ensure that your employees are equipped with the knowledge and skills to leverage AI-powered tools effectively.
  5. Monitor and Optimize: Continuously assess the performance of AI tools, making adjustments as necessary to ensure they deliver the desired results.

AI in Microsoft Dynamics 365 ERP is transforming business operations, enabling organizations to automate processes, improve decision-making, and enhance efficiency. With the power of AI, businesses can unlock new levels of productivity, reduce costs, and stay agile in an increasingly competitive market.

Microsoft recently published its wave 2 release plan for Dynamics 365 Business Central 2021. As a part of Microsoft’s goal to improve seamless integration within its business ecosystem, the 2021 release wave 2 plan unveils all the upcoming new functionalities planned to be delivered to its user from October 2021 to March 2022.

Dynamics 365 Business Central is a comprehensive business application solution that is designed and optimized for small and midsized organizations. This new release plan is focused on helping users get more productive with new enhancements and updates.

Some major picks from the Dynamics 365 Business Central 2021 wave 2 release plan are:

• With the release of wave 22021, Business Central brings new skills to simplify and improve the way our partners deal with employers. Administrators are enjoying the new experience of managing licenses and permits.
• Users will now get better explanations and guidance on errors caused by problems in setup and size. Also, it will have improvements in reporting, bank reconciliation, and supply chain strength which will help in boosting productivity.
• Business Central is now much better integrated with Microsoft 365.
• Microsoft has now improved the discoverability of reports across departments by applying a filter to the links that are shown in the Role Explorer.

Let’s dive deep into some features and updates:

A. Application

The new release will feature better reporting, better management of dimensions, and several improvements to the supply chain area. Now the users can use new templates for standardized settings when new records which will ensure that settings for posting, and reporting are correct so that productivity is not interrupted when people are entering data. Along with that, users are now provided with an improved user experience to keep posting setup and dimension issues from going wrong.

B. Bank and Payment Reconciliations

Another exciting update is bank and payment reconciliations. With the new upgrade, the bank ledger entries are now being filtered, so the ledger only after the expiration date of the statement is presented, which gives a good overview of the entries. The clean structure of the test report makes it friendly and easy to read.

C. Improved integration with Microsoft 365

Microsoft has always been known for its close integration of its various services with one another. Microsoft 365 is one of the most used office products throughout the world. In this wave release of Dynamics Business Central, Microsoft has improved its integration with Microsoft 365. The Business Central app for Microsoft Teams will now connect Teams to your business data, so you can quickly share details with your team, connect with your business contacts, and respond faster to inquiries. Along with that, Business Central continues to mature Excel-related features for exporting to Excel and working with the Excel add-in, making them more easily discoverable and reachable through the new Share menu.

D. Improve the integration with Microsoft Dataverse

When users select multiple records, such as hundreds of clients or contacts, Business Central creates a single function to sync each set of selected records. This reduces the load on the task scheduler that performs the most back-end tasks and makes it easier for users to stay within the limits of the line input. This new way of syncing selected record collections also considers the limitations of the Dataverse application by ensuring that collections are processed to a smaller size.

Along with all these new capabilities, Microsoft plans to expand Business Central’s availability to more countries and regions through local-led partnerships. Partners can create appropriate localization and publish it on AppSource. In line with the built-in language offerings, Dynamics 365 Business Central will be available to serve customers in 50 plus countries and regions around the world.
